Your AI team

One team, working across the whole customer journey.

Each responsibility connects to the next. You get one agreed process, rather than separate tools to stitch together.

Bring enquiries from phone, web chat, SMS and connected social accounts into the same process, so the next step is clear.

03Bookings

Let customers book available times, receive reminders and get a follow-up when an appointment needs re-booking.

Reminder 24 h before
04Office

Keep conversations, tasks, job status, invoices and payments together, so you can see what is waiting.

New → Booked → Completed → Invoiced → PaidNew → Paid in one view
05Reputation

Ask for a review after the work and handle replies under the rules you approve.

06Marketing and reactivation

Give customers a website, forms and a booking page, then invite eligible past customers back with permission-based campaigns.

07Weekly reporting

Get a plain-English summary of what moved, what is waiting and what needs you.

Example onlyThis week: progress, waiting items and decisions for you.

You still deliver the service and make the important decisions. Syztem handles the agreed routine work around them.

How the system works

The next step does not have to depend on you.

An enquiry comes in. It gets a reply. The next step is offered, the booking is confirmed and the office work stays connected. After the job, the same process can send the invoice, request a review and invite the customer back.

We agree what happens at each step. You approve the answers, booking rules and hand-offs before launch. If a request needs your judgement, it comes back to you.

Who is behind it

Designed by an engineer who understands operations.

I’m Miguel, an industrial engineer with a background in manufacturing operations management. I’ve worked with processes where the next step, the person responsible and the exceptions need to be clear.

That is the thinking behind Syztem. We map the work, agree the rules and test the process with you before it reaches your customers. The aim is practical: less routine chasing, with a clear view of what still needs you.

What your time is worth

Work out what the chasing costs you now.

Put in your own numbers. The calculator shows the hours and dollars you could get back each month, and how quickly the monthly service pays for itself.

The result uses only the figures you enter. It is your estimate, not a promise of savings. Set-up fee and usage above the included allowance are not included in the payback figure.

Scenarios

What it looks like in a business like yours.

Four kinds of business that run on bookings and jobs, and what the system would take off the owner’s plate in each. Example scenarios.

Illustrative dry-cleaning business owner at her counter, looking up from her phone
Dry cleaner · Sydney inner west

Calls come in while she is at the press, and they used to be lost. With the system, each enquiry gets a reply and a pick-up time, and everything sits in one place. She steps in only when a customer asks something unusual.

Illustrative car wash owner at the entrance of his bays, looking up from his phone
Car wash · Western Sydney

Bookings used to arrive through three apps and a notebook. Customers now book a bay online and get a reminder; a no-show gets a text offering another slot. Monday’s report shows what moved and what is waiting.

Illustrative plumber leaning on his work van, looking up from his phone
Plumber · two-person business

Quotes went out and were never followed up because he was on the tools. Follow-ups now go out on the schedule he approved, the invoice is sent when he marks the job done, and a price question comes back to him instead of being guessed.

Illustrative dental practice owner at reception, looking up from her phone
Dental practice · three chairs

The front desk could not get to every call or message. Routine enquiries and reminders are handled under the answers the practice approved; anything clinical goes to a person; the gaps in the book have closed.

Example scenarios showing how the system is used. Not customer testimonials; people shown are not real customers.

FAQ

The practical questions.

Is this just an AI phone service?–

No. Calls are one way an enquiry enters the system. Syztem connects enquiries, follow-up, bookings, office work, reviews and repeat business, with weekly reporting across the process.

Will I have to learn another app?+

We configure the workflow and show you the parts you need to use. You will still need to review exceptions, make decisions and keep your business information current, but you will not be building the system yourself.

What if it gives the wrong answer?+

You approve the answers and rules before launch, and we test routine requests and exceptions with you. AI can make mistakes, so we agree which requests must come back to a person and review issues as part of running the service.

Do I need a new phone number or website?+

One business phone number and a website are included. We assess whether your existing number can be routed or transferred and whether your current site can connect to the workflow. We explain any changes and costs before you commit.

What happens when a customer needs a person?+

We agree which requests should be handed over and who receives them. Syztem can pass on the request and flag it for attention. The response depends on the person and availability you nominate; a hand-off does not mean a live person is always available.

Will it work with my current booking or business software?+

We check compatibility during scoping. Where a connection is supported and useful, we include it in the proposed set-up. We tell you what stays separate. Clinical records, specialist job systems and accounting tools may still be needed.

What is included in A$350 a month?+

The seven team responsibilities within your agreed scope, software, one business phone number, a website, weekly reporting and a monthly review. The pricing section shows the monthly usage allowances. Set-up is quoted separately, and payment-processing fees and any approved additional usage are separate.

Can I cancel, and how does the guarantee work?+

There is no minimum term or exit fee. Email us before your next renewal to stop the next monthly charge; access continues until the end of your paid period. Ordinary part-month payments are not refunded, except under the 30-day guarantee or where the law requires. During the guarantee period, you can request a refund of the set-up fee and first monthly service payment under the terms above.

Who owns my customer information?+

Your customer records remain yours. We use them to deliver the agreed service. Before you start, the agreement explains who can access them, which providers process them, what you can export and what happens to retained copies when the service ends. The software itself remains the property of its providers.

Who runs it, and what if I need a change?+

Syztem sets up and runs the agreed workflows on established software. You get a weekly summary and a monthly review with us. Changes within the agreed scope are handled as part of the service; we quote work outside that scope before starting it. Your proposal sets out the support channel and response arrangements.
